Attendance & Payroll Analyzer · Last updated 29 August 2026

1. Who we are

This application is a private workforce system used by authorised employees of the organisation that operates it, for the sole purpose of analysing attendance and preparing payroll. It is not a public service and is not open to registration.

2. Information we collect

We process the following categories of data:

  • Account data: name, work email, assigned role, company and department.
  • Employee records: HRMS ID, attendance ID, designation, weekly off and status.
  • Attendance data: biometric punch timestamps, shift timings, leave and exception records.
  • Payroll data: salary components, deductions, overtime, adjustments and finalised payroll reports.
  • Activity data: audit logs of actions taken in the system, including who changed what and when.

We do not collect biometric templates or fingerprints — only the punch timestamps produced by the attendance devices.

3. How we use the information

Data is used solely to calculate attendance, apply approved exceptions and grace minutes, prepare and verify salaries, maintain an auditable payroll history and meet applicable labour and record-keeping obligations. We do not use this data for advertising or automated decisions outside payroll calculation, and we do not sell it.

4. Access and confidentiality

Access is restricted by role. Department heads see only employees within their scope; HR, finance and administrators receive broader access according to their duties. Finalised payroll data is locked to prevent retroactive changes, and every edit is recorded in the audit log.

5. Data storage and retention

Records are hosted on secure cloud infrastructure with access limited to authenticated users of this application. Attendance and payroll records are retained for the period required by applicable law and internal accounting policy, after which they are archived or deleted.

6. Third parties

We share data only where necessary: with hosting and email service providers required to operate the system, with banks or payroll disbursement channels for salary payment, and with authorities or auditors when legally required.

7. Your rights

Employees may request access to their own attendance and payroll records, ask for correction of inaccurate data, and raise concerns about how their data is handled. Requests are handled through the HR department.

8. Security

The application uses authenticated access, role-based permissions, row-level data restrictions and audit logging. Users must keep their credentials confidential and report any suspected misuse to HR or the system administrator immediately.

9. Changes to this policy

This policy may be updated as the system or applicable regulations change. The revision date at the top of this page reflects the latest version.

10. Contact

For any privacy question or request, contact the Human Resources department or the system administrator of your organisation through your usual internal channel.
